Why your employer asks for rent receipts
House Rent Allowance is only partly taxable if you actually pay rent. To give you the exemption in your monthly TDS, your employer has to see proof that the rent is real. Payroll teams usually ask for receipts twice: once as a declaration early in the year and again, with proof, around January to February. Without them, the employer deducts TDS as if the whole HRA were taxable, and you'd have to claim the exemption yourself when you file your return.
The exemption only exists under the old tax regime. If you've chosen the new regime, HRA is fully taxable and receipts make no difference to your tax, though some employers still collect them. Not sure which regime suits you? Compare both in the income tax calculator first.
What a valid rent receipt contains
- Tenant's name and the landlord's name.
- The address of the rented property.
- The rent amount in figures and words, and the month it covers.
- How it was paid (UPI, bank transfer, cheque or cash) and the date.
- The landlord's signature, and PAN where the rent crosses ₹1 lakh a year.
The ₹1 lakh PAN rule
If the rent you pay adds up to more than ₹1,00,000 in the year, which is anything above about ₹8,333 a month, your employer needs your landlord's PAN. If the landlord doesn't have one, a signed declaration from them in the prescribed format is accepted instead. The generator warns you as soon as your rent crosses the limit without a PAN, and checks that the PAN is in the right format (five letters, four digits, one letter).
Cash rent and the revenue stamp
Many employers ask for a ₹1 revenue stamp, signed across by the landlord, on receipts for cash payments above ₹5,000. When you choose Cash above that amount, each receipt gets a box for the stamp. Our advice is simpler: pay by UPI or bank transfer. A bank record is far stronger evidence if the tax department ever asks, and it saves you the trip for stamps.
How much HRA can you actually claim?
The exempt amount is the lowest of three figures: the HRA you receive, rent paid minus 10% of basic salary, and 50% of basic for the eight cities named in the new rules (40% elsewhere). Receipts prove the rent; the HRA exemption calculator shows how much of it actually reduces your tax.
Paying rent to your parents
This is allowed and common, provided the house is owned by the parent, you genuinely transfer the rent (preferably by bank), and the parent shows it as rental income in their own return. Paying rent to a spouse is looked at much more sceptically by tax officers. Don't create receipts for rent you haven't paid: claiming HRA on fake receipts can lead to tax, interest and a penalty of 200% of the tax evaded for misreported income.

Do I need to sign the rent receipt?
No, the landlord signs each receipt to confirm they received the rent. You keep the signed copies and give scans or copies to your employer.
Can I make receipts for the whole year at once?
Yes. Set the from and to months and the generator makes one receipt for each month. Most employers accept a set for the year, as long as each is signed.
What if my landlord refuses to share their PAN?
If annual rent is above ₹1 lakh, ask for a signed declaration that they don't have a PAN, with their name and address. Otherwise your employer may not allow the full exemption, and you'd need to claim it in your return with proof of payment.
